Administrative duties to support the CRHF Device Development Solutions and Device Product Engineering organizations as well as the broader Device Engineering organization. The organization is primarily engineers, managers and directors. There are 3 additional administrative assistants directly assigned to other groups, however it is understood that support can be requested from any of the admins and coverage for time off will be worked out between the other administrative assistants. Daily routine activities will include calendar management for 4-5 people as well as scheduling support for the broader organization. A proactive approach is desired, for example requesting agendas for upcoming meetings, resolving meeting conflicts, providing travel options for upcoming trips. The general atmosphere is informal and friendly.

A Day in the Life

Responsibilities may include the following and other duties may be assigned.

  • Performs normal office functions such as setting up and maintaining files; arranging meetings and conferences; Gathers, compiles and reports on information relevant to supervisor's assignment.
  • Administers inter-department or inter-unit programs or processes.
  • Solve problems of moderate scope and complexity following established policies and procedures.
  • Immense discretion in confidential company matters.
  • Collaborate with various business units to accomplish department goals.
  • Work under very general supervision.
  • Fluent in Microsoft Word/Excel/Power Point/One-Note
  • Independently perform complex and diverse administrative duties
  • Calendar management for Directors of Various R&D Departments
  • Coordinate domestic and international travel as needed
  • Calendar management in Outlook
  • Schedule large/small meetings
  • Expense reporting
  • Order supplies
  • Sending documents and items to archive facilities
  • Scan/Email/Electronic signature process
  • Type and proofread correspondence, reports and forms.
  • Collect, log, and organize information from a variety of sources as requested.
  •  Specific Responsibilities:
  • Work with Research & Development teams logistical needs
  • Operate Director meetings for Research & Development regarding agendas, meeting space, live and on-line meeting set up (WebEx)
  • Work with R&D Directors and our cross functional partners (Finance/Project Management Office) to ensure team is meeting goals regarding budgeting and supply/demand.
  • Submit and track through closure 100+ purchase orders and 20+ capital requests per year totaling $5-10M.  This requires excellent organizational skills, attention to detail, the ability to fluently navigate purchase order / capital request systems and help coordinate with our vendors
  • Must be able to develop relationships easily as you are typically the first person someone comes to with a question and you will need to navigate a large organization to find answer/solution. 


Must Have: Minimum Requirements
  • Minimum of 4 years of relevant experience
Nice to Have 
  • Frequent use and intermediate/ advanced knowledge of word processing, spreadsheet and graphics presentation applications, electronic meeting/calendar coordination, travel planning, and budget/cost center management.
  • Previous experience in a fast paced environment with a high level of work completion and low amount of errors or rework.
  • Previous experience working with leadership/Director level and above.
  • 2 year degree preferred in administrative professional career field.
