A Day in the Life
 
  • Provide day to day management of intercompany stock transfer order export filings. 

  • Assists with processing LATAM Distributor shipments 

  • Requires interaction with, Medtronic distribution facilities, freight companies and business unit personnel supporting the Latin American Region and intercompany shipments from US distribution centers. 

 

Responsibilities 

  

Processing Shipments  

  • Creates export paperwork for intercompany & Distributor shipments (Medtronic Distribution Center to Distribution Center shipments) 

  • Supports reconciliation of shipping variance and returns to sending distribution center 

  • Engages with variety of functional team to ensure shipment accuracy including but not limited to Distribution centers, Freight forwards, Transportation and Logistics, Quality, and Compliance teams 

  • Ensures Correct values and invoices are used for export purposes (shipment and EEI filing) 

  • Reworks and refiles appropriate documentation for shipment disputes  

  • Completes EEI filings 

  • Trains to support Analyst in processing LATAM distributor shipments 

 

Other requirements 

  • Consistently contributes to core team workloads ensuring team service levels are met or exceeded including month end and quarter end LatAm shipment requirements.  

  • Maintains service levels to meet individual and business goals 

  • Comply with applicable FDA and international regulatory laws and standards. Document transactions and approvals for tracking/inquiries and audit purposes 

  • Meets deadlines and drives results; proactively communicates and resets expectations when timeline is not achievable 

  • Detail oriented to ensure all documents are accurate and compliant.  

  • Able to work flexible schedule as business needs dictate. 

  • Understand multiple international documents, certifications and legal shipping terms such as, but not limited to: Regulatory Compliance, (Country Specific), Import License, Quality Certificates, Sterilization, Certificates, Customs Harmonized Tariff Codes, Specific Shipping Instructions, Carriers, Insurance, NAFTA forms, Inspections, Incoterms and Routed transaction regulations  

  • Individuals in this role must be highly adaptable to change and shifting priorities and require minimal supervision.  

 

  

Must Have: Minimum Requirements
 
  • Bachelors degree required
  • 0 years of experience required


Nice to Have

 

  • 1+ year work experience in customer service role or other applicable role that demonstrates content knowledge and/or skills.    

  • Intermediate Microsoft Office (Word, Excel, PowerPoint) skills and database software  

  • Systems knowledge SAP, Adobe Professional  

  • Competency in import/export documentation processes and verbiage 

  • Demonstrated ability to communicate effectively and professionally (written and verbal)  

  • Demonstrated time management and organizational skills 

  • Proven ability to produce consistent, detail oriented, high quality work. 

  • Team player; independent worker who focuses on ensuring team goals are achieved  

  • Proactively drives results  

  • Ability to execute logically, calmly and efficiently in a sometimes varied and stressful environment 

  • Basic knowledge and understanding of import/export regulatory requirements and ability to assess current procedures and resolve gaps 

  • Experience working in a regulated environment--ideally the medical device industry 

  • Ability to prioritize daily work and balance overall workload as business or customer needs vary and compete with service level in other areas
