A Day in the Life


The role of the Associate Project Lead is to support the Enterprise Portfolio Management Office (EPMO) as part of Business Service Desk(BSD) to deliver monthly project financial management reports as part of project management office from an administrative perspective.

This role will closely work with project and program managers to prepare the monthly financial reports for various types of IT projects.

This is achieved through effective:

§  Document Management

§  Report collation

§  Communications

§  Administrative Support




§  Graduation in Engineering (BE/B.Tech) or Masters in Computer Applications (MCA) from a reputed institute/university.

§  1-3 years of experience in IT Organization


Key Responsibilities:


§  Work with project and program managers for identified projects to setup, build and manage project financials reports month on month

§  Collate, consolidate, analyzed and generate monthly financial status of projects, including:

o    Monthly project accruals,

o    Track vendor purchase orders for the project and keep track of the burn rate,

o    Work closely with the project team to consolidate and update estimation at completion

§  Set up monthly review calls to discuss with project manager on current month actual entries and note any discrepancies

§  Validate capital vs expense entries and provide inputs to PM for reclassifications required

§  Check for updates mid of the month and provide update to PM for any varying costs

§  The role will be working with senior program and project managers and shall handle key communications on project financials.

§  Collate, design and deliver all information relevant to EPMO reporting (lateral and upwards)

o    Collaborate with process teams to build and understand the strategy and vision of the EPMO

o    Partner with other EPMO stakeholders, project coordinators/Program management teams in the regions

§  Overall accountability for all administrative duties including:

o    Coordination of meetings including management of diaries, hiring of rooms and equipment

o    Minute all meetings and distribute as required

§  Ensure all project information, documentation and products are correctly identified and stored

o    Ensure document control and versioning that provides consistent formatting, naming and version conventions

o    Publication of all documents on the project intranet site

§  Maintain an internal project SharePoint site for all documentation and key information

§  Act as a role model by “living” and demonstrating the Medtronic Core competencies and values

§  Foster a positive, engaging and challenging team – focused “global” work environment to ensure high productivity, employee engagement, and optimal performance


Specialized Knowledge or Skills Required:


§  Essential

o        Minimum of 1.5-year experience in a IT project support or PMO environment

o        Good understanding project management lifecycle (e.g. waterfall or agile)

o        Experience in supporting project financials for large, projects

o        Strong hands on experience in excel sheets - complex formulae, pivots, pivot charts etc.

o        Basic working knowledge on Microsoft SharePoint

o        Basic Knowledge on project finance management

o        Excellent skills in analyzing data and report creation

o        Good interpersonal skills

o        Ability to communicate effectively, both verbally and in written form

o        Ability to communicate and document complex issues and procedures

o        Ability to work in a fast-paced environment

o        Ability to work well under pressure and maintain positive, enthusiastic attitude

o        Eagerness to learn and expand responsibilities

o        Ability to work effectively in a team environment and build strong working relationships



§  Solid understanding of system development methodologies (Waterfall and preferably Agile)

§  Excel Macros and VBA knowledge

§  Ability to understand technical concepts (moderate level of complexity)

§  While performing the duties of this job, the employee is regularly required to be independently mobile. 

§  The employee is also required to interact with a computer, and communicate with peers and co-workers.

§  Ability to support multiple projects and activities, deal with change, and work with a variety of personality types
