This Executive Administrative Assistant position has the responsibility and authority to provide day-to-day support to the Vice President of Research and Development in the CRHF (Cardiac Rhythm and Heart Failure) and AFS (Atrial Fibrillation Solutions) businesses at Medtronic where life-saving medical products are created to restore hearts to their nature rhythms. This includes a full range of administrative duties and requires the ability to handle a broad range of items on a proactive, professional and discrete basis. A Day in the Life


Responsibilities may include the following and other duties may be assigned.

Provides executive administrative support to the Vice President of R&D including:.

  • Arrange schedule of VP to manage time effectively and efficiently.

  • Maintain VP’s calendar to meet internal customer needs ensuring timely and professional responsiveness. Prioritizing urgent and important, and maintaining schedules to prevent conflicts.

  • Supports weekly staff meeting, All Employee Meetings AEM, and off-site strategy sessions; including preparing agenda’s, consolidating notes, actions and ensuring follow-through closure of actions items. 

  • Responsible for coordinating and booking domestic and international travel and submitting expenses.

  • Prepare communications to R&D employees, including PRC video’s and memo’s to org.

  • Management of VP’s email inbox, triaging priorities and arranging appropriate calendar work time 

  • Manage external speaking events and arrangements. Bio’s, professional photo’s and timely completion of associated materials.

  • Discrete inter-personal relations and proven ability to work in a cross-functional executive administrative team of peers. Dotted line leadership of R&D admin team (12) to drive efficiency, coverage plans, and defining areas of expertise across the admin pool.  Serve as a work coordinator of the broader R&D administrative team

  • Gathers, compiles and reports on information relevant to leader’s assignment.

  • Administers inter-department communications, programs and processes.

  • Performs a wide variety of non-routine clerical and administrative tasks and support special projects or assignments.

  • Performs normal office functions such as setting up and maintaining files, manages detailed file system for critical business documents.

  • Deliver high quality results and work product.

  • Works cross-functionally to build relationships and best practices.

  • Makes adjustments or recommends enhancements in systems and processes to solve problems or improve effectiveness of job area.



Must Have: Minimum Requirements

  • High school diploma or equivalent 

  • Minimum of 6 years of experience

  • 5+ years of experience with Advanced Microsoft Office skills (Outlook, Word, Excel, and PowerPoint)

Nice to Have

  • Associate’s or Bachelor’s Degree

  • Medtronic experience

  • Attention to detail

  • Prior experience handling confidential, sensitive business information and supporting executive level professional

  • Excellent proofreading/composition skills; strong written and oral communication skills

  • Ability to act autonomously while demonstrating strong initiative 

  • Must demonstrate professional demeanor and diplomacy and tact

  • Must possess a high level of energy and willingness to work independently in a “fast paced” environment. Flexible - ability to adapt to changing requirements and priorities.

  • Excellent organizational skills required with ability to prioritize. Ability to work well with multiple instructions and directions, and in ambiguous situations.

  • Ability to handle difficult situations

  • Must be proactive and able to prioritize work independently.

  • Excellent interpersonal skills - ability to work with others and interface with all levels of the organization and management
