We are excited to be hiring a seasoned and dynamic Executive Administrative Assistant to support the Corporate Tax team! in this role, you will provide high quality proactive assistance to support & enhance the corporate tax function. You will independently perform complex and diverse administrative duties reducing the workload for other tax professionals. You will lead the administration of projects within Corporate Tax with a primary role of supporting the Chief Tax Officer. This position also supports two other VP’s of Corporate tax, as well as the remainder of the Minneapolis corporate tax group. Visibility to various confidential and sensitive information will exist requiring this individual to use tact, diplomacy, discretion, and judgment. You will also be responsible for independently ensuring the timely and accurate monitoring of both departmental and project activities, including ensuring maintenance of project data bases, proofreading & routing intercompany agreements, invoice tracking & approvals, and meeting numerous other scheduled deadlines where failure to meet such deadlines can result in significant fines/penalties for Medtronic.

A Day in the Life


Responsibilities may include the following and other duties may be assigned.

  • Daily activities include interfacing with senior leadership, tax leadership, and all levels of tax dept. employees, as well as with peers, customers, vendors, and visitors in a professional manner
  • Serve as a key contact point for businesses and geographies, other Medtronic departments and external entities (handling questions, issues, follow-ups).
  • Provide administrative support to Tax VP's, Directors, and other departmental staff as required including: maintaining calendars, travel planning, expense reporting, managing supplies and equipment, scheduling meetings (audio and video conferences, training sessions, and other meetings), updating and proofing documents, presentations, and memorandums, assist in new hires, provide executive level support which can require assistance on administrative matters outside the normal working hours on a limited basis.
  • Provide support for department initiatives including: creating and maintaining Corporate Tax organizational chart, contact lists, IRS audit materials, access rights, presentations, status reports, and other documents relative to corporate tax, actively participate in the AOP process, budget forecasting, purchase order creation, seeking payment approvals and tracking payments against current budget, review of department wide travel and spend confirming adherence to company policy and management of cost center spend, ensuring the accurate and timely execution of inter-company agreements and track processes using Access database, coordinate obtaining VP level signatures for various entities from global partners, ensuring accuracy with signatures and returning within necessary timelines, and acting as team lead in functional meetings such as quarterly staff meetings and semi- annual full department meeting.
  • Provide document management support including handling sensitive or confidential information and prepping state income tax returns for mailing and verify timely filing occured.
  • Establish a network of various support functions in order to quickly resolve matters related to mail delivery, travel, IT, facility, or other issues to assist the department in performing at an optimal level
Must Have: Minimum Requirements
  • High School Diploma or GED
  • Minimum of 10 years of administrative support experience

  • CPS/CAP certificate
  • Strong oral and written communication skills
  • Strong organizational skills
  • Ability to work effectively within a matrix organization
  • Demonstrated ability and success in interacting with employees at all levels, with or without direct authority
  • Ability to organize and prioritize work effectively with minimal supervision; accuracy and attention to detail are essential
  • Identify and implement process improvements
  • Ability to handle most issues and requests by executing an alternative on own initiative or recommending best alternative to Vice President or others
  • Experience with Microsoft Office Applications (Word, PowerPoint, Outlook, Excel)
  • Flexible - able to adjust to changing priorities
