We are excited to be hiring an experienced and dynamic Executive Administrative Assistant to support the Vice President, Human Resources - Minimally Invasive Therapies Group! In this role, you will act as a front-line representative for VP, HR MITG's executive offices and be a key partner to the leader. You will work independently to perform complex administrative and operations duties, represent MITG Human Resources with the highest level of professionalism, and work with a high level of confidentiality of critical business matters and ensure data integrity. This role will include interactions with high-level contacts, both internally and externally, and have exposure to sensitive information requiring use of tact, diplomacy, discretion, and judgement.

A Day in the Life


Responsibilities may include the following and other duties may be assigned.

  • Provide proactive administrative and operations support to VP, HR MITG executive 
  • Attend leadership meetings as appropriate and represent leader as needed with stakeholders and their staff
  • Act as liaison and communication bridge across the MITG HR Leadership Team 
  • Meeting coordination including meeting room reservations, preparing presentation materials, assist with agenda, meeting minutes, travel, catering, setting up WebEx and video conferencing, etc. (meetings include both onsite and offsite)
  • Use problem solving techniques, tact and discretion when handling telephone calls, making travel arrangements, scheduling meetings and managing other requests for information
  • Track program and project status interacting with program leaders and project managers to ensure timely reporting
  • Compile regular status reports from the team to the VP
  • Maintains confidential records, files and, ordering supplies and equipment, maintain organizational charts and email distribution lists
  • Acts as an information resource on organizational policies and procedures
  • Lead and coordinate special projects as directed
  • Periodically aids other Administrative Assistants; ie: vacation coverage and regularly with lunchtime phone coverage
  • Periodically aids other executives and leaders who provide support to MITG HR
  • Screen incoming calls and email correspondence on behalf of the VP, HR MITG
  • Prepare expense reports, audit, and approve direct report expense reports
  • Schedule and coordinate domestic and international travel, accommodations, and logistics
Must Have: Minimum Requirements
  • High School Diploma or GED
  • Minimum of 6 years of  administrative experience
Nice to Have
  • Experience with Microsoft Office Applications, Word, PowerPoint and Excel
  • Experience with Workday
  • Strong communication skills (verbal and written)
  • Experience with electronic meeting coordination (video conference, phone, and live-online)
  • Experience with calendar and travel planning
  • Attention to detail, accuracy and confidentiality
  • Organized, efficient, process oriented
  • Anticipates well and is planful/predictive
  • Professional and effective telephone techniques and etiquette, able to triage calls when appropriate
  • Task management and problem-solving skills
  • Self-motivated, team player, strong work ethic
  • Works well under pressure in a dynamic environment; can flex to the meet changing needs
  • Tactful, exercises independent judgment and discretion – professional demeanor.  Manages confidential information
  • Flexible, friendly, team-oriented disposition that thrives in a fast-paced environment

  • Demonstrated ability and success working with minimal supervision, including flexibility to changing priorities in a proactive and self-motivated manner
