    The Management Assistant performs diverse administrative duties of varying levels of complexity. Daily activities may include interaction with high-level contacts and exposure to sensitive information requiring considerable use of tact, diplomacy, discretion and judgement. This position will support several Medtronic Core Clinical Solutions (MC2) teams and executes all tasks under general supervision.


    A Day in the Life

    The responsibilities of the Management Assistant are:

    • Using problem-solving techniques, tact and discretion when handling telephone calls, making travel arrangements, scheduling meetings, and managing other requests for information.
    • Performing various administrative duties including preparing communications, maintaining schedules, Internet/Intranet research, facilities coordination, setting up new hires, setting up files, ordering supplies and equipment, photocopying documents and distributing mail.
    • Coordinating meetings, including travel, location, catering etc. 
    • Acting as an information resources on organizational policies and procedures
    • Collecting, logs and organizes information from a variety of sources as requested
    • Comparing budget plan to actual expenditures and resolves discrepancies. Participates in the AOP and budget forecasting process
    • Applying knowledge of business priorities and company organization when assisting in the development, implementation and monitoring of internal operating systems and procedures
    • Conducting special projects as directed. Provides project support to a functional group or business process
    • Interacting with peers, upper management, vendors, clients and customers on a frequent basis

Must Haves

  • High School or equivalent;
  • 3 years of administrative experience and training;
  • Keyboarding skills;
  • Intermediate/advanced knowledge of word processing, spreadsheet, database and graphics presentation applications;
  • Electronic meeting/calendar coordination;
  • Travel planning;
  • Budget/cost center management;
  • Advanced communication skills (written & verbal);
  • Telephone techniques and etiquette;
  • Task Management;
  • Problem Solving;
  • Familiar with current office technologies;
  • Records management;
  • Organized, efficient, process oriented;
  • Interpersonal/communication skills;
  • Self-motivated;
  • Team player;
  • Strong work ethic;
  • Works well under pressure in a dynamic environment;
  • Tactful, exercises independent judgment and discretion - professional presentation;
  • Intermediate/advanced knowledge of English (written & verbal).

Nice to Haves

  •  Formal computer training;
  • Knowledge of Microsoft Office Applications (Word, Excel, PowerPoint).
