The Operations Specialist is responsible for scheduling and coordinating all logistics for the Commercial Enterprise Programming team.   In this role, the Operations Specialist will support the site director and training managers to ensure that sales representatives and managers receive a positive and professional experience as they enter and exit from Medtronic CEP events. This person will be involved at various levels of the department’s training programs, including planning, implementation, and day-to-day operations.  This position requires ongoing collaboration with a variety of individuals and departments to ensure all Commercial Learning clients have the required tools and information to access our development resources.




·       Schedule live and virtual training classes including coordination of speakers, lunches and set-up of facilities

·       Arrange travel, lodging and meals for prospective trainees

·       Provide detailed logistics and metrics reports to training managers

·       Consult with Site Director to create and provide training schedules for the fiscal year

·       Communicate plans and activities to sales representatives, sales managers, marketing personnel and training managers

·       Partner with hotel managers, transportation coordinators, and restaurant managers to secure reservations and oversee execution of arrangements

·       Oversee maintenance of common training spaces including inventory of equipment and training supplies

·       Manage Learning and Development budget and ensure timely reporting to Department Head/VP

·       Coordinate and enter training agenda using training events applications or Learning Management Systems

·       Order supplies needed for live and virtual training events

·       Manage catering needs for all departmental events that occur on site

·       Assist in various tasks to support training managers

·       Create logistical checklists for efficient and successful support of remote program implementation

·       Process cross  charges and vendor payments

·       Administer all Live and Virtual ILT classes in the Cornerstone LMS

·       Promote continual creative improvement and a culture of innovation, excellence and accountability

·       Process all approvals and payments for expenses incurred as a result of onsite or virtual training courses



  • Degree from a two or four-year college or university, preferably specializing in administration or equivalent experience
  • Multi-lingual communication skills: Spanish, Portuguese, English
  • Strong interpersonal skills
  • Ability to multi-task and problem solve
  • Organization and Planning Skills
  • Communication Skills: Computer, Written, Verbal




·       5 year’s experience in administrative role

·       Events planning experience





·       Proficiency in Microsoft Office Suite

·       Ability to learn and use project management software

·       Clear written and oral communication skills

·       Ability to influence and negotiate with others regardless of status in organization

·       Diplomacy and professionalism when discussing policies, procedures and project status

·       Ability to maintain and leverage positive work relationships with external vendors

·       Strong attention to detail and a collaborative style

·       Customer service oriented with proven experience

·       Experience utilizing a digital asset management system for acquiring images and other media

·       Experience working in a fast-paced environment

·       Flexible and open to change and new information
