A Day in the Life


Responsibilities may include the following and other duties may be assigned.

  • Point of contact for any facilities maintenance related requests / issues
  •  This person will need to either resolve themselves, work with one of our vendors / landlord to resolve or escalate to our facilities Supervisor as appropriate
  •  Ensure the site is kept neat & clean
  •  Place / track facilities related purchase orders & resolve any PO / Invoice issues with the vendors or AP
  •  May support other groups with their POs as needed – this person should be an expert on the PO/invoicing process
  •  Answer the phones & handle the walkie talkie that communicates with the security desk downstairs
  •  This includes meeting deliveries, getting / distributing the mail
  •  Handling shipping labels for the site – this will be primarily for the 3rd floor. The 2nd floor has an admin that will cover that floor but this person would be a back-up
  •  Includes getting trained on hazardous goods shipments (we ship a fair amount of batteries)
  •  Monitoring the office & kitchen supplies & placing orders to replenish
  •  We centralize the purchase of office supplies at the site so this person would reorder as needed
  •  We are moving to a model where our coffee vendor restocks the kitchens but there are some items that we’ll still need to do ourselves
  •  Coordinating visitors to the office, including allocating work space, temp badges and notice to security
  •  Includes leadership visits – we have a process around notifying the site & promoting these
  •  Also assist with planning & set-up of site-wide events like townhalls
  •  Setting up meetings as needed (more site wide ones)
  •  Assist with the onboarding / offboarding employees – mainly security badges and working with their manager to assign a work space
  •  Keeping the site phone directory & seat maps up to date
  •  HR – we don’t have site HR so there are some things that we need to cover (birthday list, any posters that need to be hung, etc.)
  • Other projects as needed – we are currently working through a renovation of the office space so there could be some involvement there

Must Have: Minimum Requirements

  • Minimum of 4 years of relevant experience
