Medtronic Coronary and Structural Heart provides interventional devices to treat coronary arteries that are blocked by atherosclerotic plaque and devices and therapies to treat structural defects of the heart. We are currently looking for Project Coordinator IV to support the Aortic R&D Product Development and PMO initiatives at our Santa Rosa, CA location.

A Day in the Life
 

The Aortic R&D Project Coordinator IV is responsible to provide support to Product Development and PMO initiatives, as assigned. The person in this role will work closely with a cross functional leadership team and will need to independently perform complex and diverse organizational duties. It will be important to work across multiple functions, take initiative, and prioritize responsibilities to ensure the needs of the stakeholders are met.  

 

Responsibilities may include the following and other duties may be assigned:

  • Provides general administrative support including preparing communications and maintaining schedules for the Vice President of R&D, direct management staff and extended team.
  • Collaborates across other departments and functions.
  • Assist with daily tasks such as calendar management, coordinating mid to high level communications, travel planning, and expenses. Additional tasks include but are not limited to organizing on and off-site meetings and events, coordinating space planning efforts, attending staff meetings and taking meeting minutes, managing department-wide communication meetings, creating presentations and placing and processing orders.
  • Oversee and direct special events including managing agenda and strategy for the day, as well as logistics including audio/visual needs, coordinate food and beverage, catering. Partner and negotiate venue details with outside vendors related to offsite events.
  • Maintain a high level of confidentiality while maintaining customer satisfaction (external and internal), respond to the problems and needs of employees, suggest solutions and develop and support long term relationships with peers and across other functions. Maintain a high standard of communication within the department to help keep team members accountable, motivated, and engaged.
  • May be responsible for coordinating travel and submitting expenses as needed for some of R&D staff and sometimes outside physician consultants
Must Have: Minimum Requirements
  • Minimum of 6 years of relevant experience
  • High School Diploma
Nice to Have
  • Experience supporting high-level staff, project management, operations and event planning
  • Creative, approachable, energetic, “can-do” attitude with ability to change direction in an ever-changing environment
  • Must be a resourceful go-getter who enjoys a fast-paced environment
  • Ability to establish and maintain positive working relationships with a variety of departments, personalities, and dynamics
  • Talent for creating and adapting administrative office procedures as necessary with the intention to improve efficiency
  • Proven technical skills within Microsoft Outlook, Word, Excel, PowerPoint, Visio, Adobe. Familiarity with Workday is a plus.
  • Excellent communication and organizational skills
  • Strong attention to detail; analytical and problem-solving abilities
  • Demonstrated ability to prioritize workload and complete multiple tasks in a timely manner
  • Enjoys working independently and as part of a team
  • Able to grasp new concepts and adapt rapidly
  • Demonstrated experience working in highly dynamic R&D/Technical Environment.
  • Good Communicator and collaborator with other Executive Staff and supporting Administrative staff.
